Hours: 8.30am – 5.00pm (Monday – Friday)
Salary: £15,000
Primary job purpose
To undertake a variety of administrative duties to ensure that customer enquiries are dealt with in an efficient and professional manner.
Job structure
The position will report directly to the Customer Service Manager and be part of the Customer Service Department. The successful candidate will be able to adapt to both working in a team and be willing to work unsupervised where necessary.
Key activities
- Handling incoming telephone calls and greeting visitors to the office
- Creating and dispatching sales proposals, quotations and specification documents to company standards
- Dealing with customer queries quickly and professionally via telephone, email, fax and letter
- Logging calls for corrective works and maintenance visits on the company database, conferencing engineers and scheduling visits
- Helping to manage the maintenance diary including generating reports and letters, and updating electronic diaries and the company database with engineer locations
- Generating and sending maintenance renewal communications according to monthly schedules
- Scanning and storing documents on the company database
- Logging and forwarding messages, and where appropriate ensuring response within 24 hours
- Providing administrative support to the Customer Services Department and Sales Team
- Assisting with general administrative duties when required.
Skills and experience
- Excellent written and verbal communication
- Competent in Microsoft Office (Word, Excel and PowerPoint)
- Excellent interpersonal skills, able to deal with people at all levels and to remain approachable even when under pressure
- Self-motivated with the ability to work pro-actively on own initiative and possessing a desire to take on responsibility
- Excellent organisational skills, taking pride in presentation of work and possessing a keen eye for detail
- Good team player, willing to be flexible and provide support to colleagues
- Good standard of education, including GSCE English & Maths.
Training
Full training relevant for the job will be provided, depending on the candidate’s specific requirements and experience. The training will be provided both in-house and externally if required.
