Hours: 8.30am – 5.00pm (Monday – Friday)
Salary: £25,000 + bonus
Primary job purpose
To ensure the smooth running of engineering operations, maximising speed and efficiency in the deployment of engineering resource to customer sites.
Job structure
The position will report to the Operations Manager and will liaise with all other departments. The successful candidate will be energetic and proactive, and able to provide strong administrative support.
Main Duties
- Managing the engineering diary and keeping internal systems up-to-date with engineer locations
- Responding to customer queries, via telephone, email, fax and letter, redirecting them for action where appropriate, and following up to check they have been dealt with
- Liaising with maintenance engineers and team leaders and assisting them with their administration
- Logging calls for corrective works and maintenance visits, conferencing engineers and scheduling visits
- Scheduling Maintenance visits between engineers and customers
- Attending monthly maintenance meetings
- Ensuring all messages received from customers (prospective or current) are logged and returned within 24 hours.
- Dealing with daily staff/engineer queries
- Checking engineer monthly timesheets for accuracy
- Managing call outs, ensuring out of hours call outs are charged
- Managing breakdown issues
- Processing orders
- Providing sales and administrative support to the Customer Services Department and sales team
- Working closely with all other departments
- Assisting with general administration duties.
Personal Qualities
- Excellent verbal and written communication
- Good levels of IT literacy, including working knowledge of Word, Excel, PowerPoint & other Office applications
- Excellent interpersonal skills, able to deal with people at all levels and to cope under pressure
- Self-motivated, with the ability to work pro-actively on own initiative and the desire to take on responsibility
- Excellent organisational skills, taking pride in own work and paying particular attention to detail
- Keen team player, willing to be flexible in providing support to colleagues
- Good standard of GSCE qualifications, including English & Maths.
Training
Full training relevant to the job will be provided, depending on the candidate’s specific requirements and experience. Training will be provided both in-house and through external sources if required.
